Record a Workflow

Recording a workflow captures your screen actions and voiceover as a video that the design team uses to build a Skyllful Lesson, and this article shows Subject Matter Experts, Content Developers, and Instructional Designers how to prepare, record, and upload it to Skyllful Studio.

Who records workflows?

Subject Matter Experts (SMEs) usually record workflows. An SME records the workflow using the built-in screen recording tools on a device like the one Learners use, or on another approved device. The recording gives the design team the screen actions and the spoken explanation needed to build a Lesson.


How do you prepare to record?

Set yourself up for success before you record. Complete the following preparation.

What to do
Match the device Use the same type of device the Learner will use whenever possible. This gives a clean visual match and a more accurate match to the Learner experience.
Set a standard resolution If you record on a computer, set a standard screen resolution, such as 1920x1080 or 1366x768. Make sure all SMEs use the same setting for consistent video.
Enable recording features Make sure your device has screen recording and microphone features enabled. If it does not, use a device that does.
Plan how the video reaches Studio Decide who will upload the recording. If you have Skyllful Studio access, you can upload it yourself, either by scanning the QR Code on the device you recorded on or by dragging the file in from a computer. If you do not have Studio access, agree with your design team on how to hand off the .mp4 file.

How do you record the workflow?

Action
1 Open the application on the same type of device Learners will use. Maximize the application window.
2 Go directly to the start of the workflow. You do not need to start from the application home screen.
3 Start your screen recording tool with microphone input enabled.
4 Work through each step of the workflow. Explain your actions aloud as you go.
5 Stop the recording when you finish, then save the video file.
6 If you are uploading the recording yourself, continue to the next section. If someone else uploads for you, send them the .mp4 file.

 


How do you upload the recording to Skyllful Studio?

A recorded workflow is a source video. Upload it to the Source Videos tab of the Video Library.

1 Open your Learning Program. On the Learning Program Overview screen, scroll to Quick Links and select Video Library.
2 Select the Source Videos tab. Select this tab before you upload, because the tab you have selected determines where your video is stored.
3 Drag your .mp4 file into Choose files or drag and drop them here, or select the area to browse for the file.

 

Note: Videos cannot exceed 1 GB. To upload from a mobile device, scan the QR Code beside the upload area on the Source Videos tab.


What makes a good recording?

A good recording includes both your screen actions and a clear voiceover. When you explain each action as you perform it, you give the design team everything they need to build an accurate Lesson.


Important notes

Save recordings in .mp4 format. Keep the screen resolution the same across all SMEs so the videos match. Record on the same type of device the Learner will use whenever possible.

Uploading by QR Code requires Skyllful Studio access on the device you scan from. If you do not have Studio access, send your recording to the person who does.


What if you cannot record or upload?

Contact your Local Administrator first. If your Local Administrator cannot resolve the issue, submit a case through the Skyllful support portal.
