Manage Job Roles
Job roles let you target training to specific positions, and administrators create, rename, and archive them on the Job Roles tab of Learning Program Settings.
What is a job role?
A job role is a position you assign people to, so training can be targeted at what someone actually does. Different roles can receive different Lessons within a single assignment, which is what makes one assignment work for a mixed audience.
Job roles belong to a Learning Program. Each program keeps its own list.
Note: A job role is required for anyone with Simulator access, so the roles you create here are what the Learner records depend on.
Where do job roles live?
Step |
Action |
|---|---|
| 1 | Open the Learning Program. |
| 2 | Click the gear icon at the top right to open Learning Program Settings. |
| 3 | Open the Job Roles tab. |
The list shows each role's Job Title, and beside it a person icon with the number of people currently holding that role. That count is the first thing to check before you rename or archive anything.
How do you create a job role?
Step |
Action |
|---|---|
| 1 | On the Job Roles tab, click the plus (+) icon at the top right of the list. |
| 2 | Enter the title in Job Title. |
| 3 | Click Create. |
Note: You can also create a job role without coming here at all. While adding or editing a user, open the Job Role list on the Simulator tab, type the new title into the Job Role Name box, and click + Add followed by what you typed. The role is created in the Learning Program and assigned in one step. See Add a User.
How do you rename a job role?
Step |
Action |
|---|---|
| 1 | On the Job Roles tab, click the pencil icon on the role's row. |
| 2 | Change the text in Job Title. |
| 3 | Click Update. |
Renaming changes the label, not the assignments. Everyone holding the role keeps it, and the Edit window shows you how many people that is before you commit.
Best practice: Rename rather than replace. Creating a new role and moving people across means editing every one of their records, while a rename reaches all of them at once.
How do you archive a job role?
Step |
Action |
|---|---|
| 1 | On the Job Roles tab, click the pencil icon on the role's row. |
| 2 | Click Archive, at the bottom left of the window. |
Note: Treat archiving as permanent. Reversing it is not something you can do yourself; it takes a support ticket to Skyllful.
Note: Check the person count first. Archiving a role that people still hold leaves those Learner records pointing at a role that is no longer in the list, and Job Role is a required field for anyone with Simulator access. Move people to another role before you archive theirs.
FAQ
Can two Learning Programs share a job role?
No. Each Learning Program keeps its own list, so a role you need in several programs is created in each of them.
Do I have to create roles before I add users?
No. If the role you need does not exist yet, create it from the Job Role list while you are adding the person.
How do I know if a role is still in use?
The person icon beside each role shows how many people hold it, on the list and in the Edit window.
Can I delete a job role?
No. Archiving is how a role is retired, and it should be treated as permanent.
