Track Individual Progress with the Learners Lens

The Overview and Curriculum lenses report on the group, and the Learners lens is where you work Learner by Learner: a sortable table whose columns depend on the Assignment Type, hero charts ranking the top five performers with a live link you can put on digital signage, a way to message a selection, and an export to Excel.

Why would you open the Learners lens?

The Overview and Curriculum lenses report on the group. Neither lets you answer a question about one Learner, and most of the work of running a training program is exactly that: who has not started, which of my team is furthest behind, has this Learner touched the training since I messaged them.

The Learners lens is the full list of every Learner enrolled in the Assignment, one row each, with every figure IQ holds about them. It is where you go to find a Learner, compare Learners, message a group of them, or take the list somewhere else.


What is on the Learners lens?

Click Learners, the third of the three lens tabs. The Assignment and the Custom View you have applied stay as they are.

The list is headed with the name of the view you have applied, so on an unfiltered dashboard it reads All Learners. Beside that heading sit a Filter box and a funnel. At the far right of the same row are two small icons, the left of which exports the list.

Below that is the table itself, one row per Learner, with the number of rows per page and page controls at the bottom.

Note: On some Assignments a set of hero charts appears above the list. They are covered in their own section below.


What do the columns tell you?

The table carries 22 columns. They fall into six groups.

Note: These four columns are customizable metadata fields. Skyllful stores them as Region, Market, Warehouse and Location, and your organization renames them to whatever suits how it is structured, whether that is geographical or a reporting hierarchy. The labels you choose appear in the User Administration panels, in the User Administration exports, and here in Skyllful IQ, so what you see in this table may read nothing like the four default names.

Note: The four are only as good as your Learner records. They come from each Learner's profile, so if they are blank here the profiles are where to fix it, not the dashboard.

The columns depend on the Assignment Type. The 22 above are what a Campaign or New Hire Assignment reports, because both are about working through content to completion. The other two types measure something else and carry their own sets.


What does a Reference Assignment report?

Reference content is looked up rather than worked through, so there is nothing to complete and nothing to rank. A Reference Assignment reports usage instead, in 15 columns.

Note: Nothing here counts completions. The measure is Viewed, not Completed, which is the right question for reference material: is anyone opening it, and which parts. Readiness, every Completed count, the Knowledge Check attempt columns, Person Number, Manager Name and the four metadata fields are all absent.


What does a JITT Assignment report?

A JITT Assignment is built around due dates, and reports Number of JITTs, Number of Completed JITTs, Compliance and Avg. Time on JITT. Readiness, the Module and Lesson counts and the Knowledge Check columns are absent. Each Learner row also expands to show that Learner's due dates.

Date Added, Last Interaction Date and Date Completed are the three worth reading together. A Learner added weeks ago whose last interaction is nearly as old has not started. One who was active recently and has no completion date is simply still working.


What are the hero charts?

Hero charts sit above the Learner list. Each chart ranks the top five performers in its category, showing a percentage and a progress bar for each Learner.

They answer a different question from the table. The table is where you find the Learners who need attention. The hero charts are where you see who is doing well, which is what you want when you are recognizing Learners rather than chasing them.

The categories are Role, Manager, and three of your four metadata fields.


Why can you not see the hero charts?

They switch on by themselves, so there is no setting to look for. Two things decide whether they appear.

The Learner records The charts group Learners by role, manager and metadata, so a Learner with those fields empty has nothing to be grouped by. Fill them in on the Learner profiles and the charts follow.
The Assignment Type A Reference Assignment has no hero charts. Reference content is looked up rather than worked through, so there is no progress to rank. Campaign, New Hire and JITT Assignments have them.

Note: This is another reason to keep the four metadata fields filled in on your Learner records. Empty fields do not only leave gaps in the table, they cost you the hero charts as well.


How do you share the hero charts?

The Link icon on the hero chart panel gives you a live link. Paste it into an email, or put it on digital signage in a break room or a warehouse, and it keeps showing current standings to everyone who sees it, including Learners who never open Skyllful IQ.

Best practice: A leaderboard on a screen where the work happens reaches Learners a dashboard never will. Check your own organization's position on naming individuals before you publish standings.


How do you find a Learner or narrow the list?

Three controls, and they combine.

Sorting by Readiness ascending puts the Learners furthest from ready at the top, which is usually the fastest way to find who needs attention. Sorting by Last Interaction Date finds the ones who have gone quiet.

Note: If you do not know which Assignment a Learner is in, use the search control in the top bar instead. It searches by first name, last name, email or employee ID, and returns one result per Assignment the Learner belongs to, showing their name, email and ID. The Filter box on this page only searches the Assignment you are already in.


How do you open one Learner's record?

Click a Learner's name, or the control at the start of their row, to open that Learner's own page. It holds their progress in detail, including charts and a record of their activity on this Assignment, and it is scoped to the Assignment you came from.


How do you message Learners from here?

Click the checkbox at the start of each row you want, or click Select All to take every Learner currently listed, then click Send Selected A Message. Deselect All clears the selection again.

Best practice: Filter or sort the list first, then use Select All. Selecting from a list you have already narrowed to the Learners you mean is faster and safer than picking rows out of a long table by hand.


How do you export the list?

Two icons sit at the far right of the list heading.

Left Downloads the list as an Excel file. There is no dialog and no options: one click and the file is produced.
Right Opens a column chooser, listing all 22 columns as tick boxes so you can hide the ones you do not need on screen. Click Update to apply. It changes the table only, never the export.

Rows follow the list. Columns never do.

The Learners in the file are the Learners the list is showing. Apply a Custom View and you get that view's Learners; with no view applied you get every Learner on the Assignment.

The columns are not yours to choose. The file always carries the full set, whatever you have hidden on screen with the column chooser. That control changes the table only.

The file is named for the view, the date, and the Assignment, in the form [All Learners][20260830] Skyllful Platform Orientation.xlsx.

Note: The filename records the view but not the Filter box. Two exports taken minutes apart, one filtered and one not, arrive with exactly the same filename and completely different contents. If you are exporting more than one cut of the same Assignment on the same day, rename each file as you save it.

The file carries the same 22 columns as the table, but do not expect every heading to match the screen. One heading is shortened, the three date columns come out in a different order, and the four customizable metadata fields may not read the same in the file as they do in the table. Match the columns by meaning rather than by position or by name if you are building a report on top of the export.


FAQ

Why does the Learner count here not match my Learning Program? IQ reports on one Assignment at a time. This list is the Learners enrolled in this Assignment, which is usually a subset of the Learning Program.

Why can I see fewer Learners than a colleague? The Learners lens reports by manager, so what you see depends on which Learners report to you.

The location columns are empty. Is that a bug? No. Those four fields come from the Learner profiles. Empty columns mean they are not filled in on the Learner records.

Why do my location columns have different names? They are customizable metadata fields. Skyllful stores them as Region, Market, Warehouse and Location, and your organization renames them to match how it is structured. The labels you choose appear in the User Administration panels and exports as well as here.

Does the export include every Learner on the Assignment? It includes whoever the table is showing at the time you click it, so a filter or a Custom View narrows the file too.

Can I choose which columns to export? No. The file always carries the full set of columns. The column chooser hides columns in the table on screen and has no effect on the export.

What is the difference between Readiness and Completed Lessons? Completed Lessons counts whole Lessons finished. Readiness measures engagement at the Lesson mode level, so the two move independently.

A Learner has a Date Added but no Last Interaction Date. What does that mean? They were added to the Assignment and have not engaged with the training since.
