Edit a User
Administrators edit one User's details and access from the pencil icon on their row, or change eligible fields for several Users at once with Edit Selected, which overwrites what those Users had.
How do you edit one User?
Step |
Action |
|---|---|
| 1 | Open the Learning Program, then click Users under Quick Links. |
| 2 | Find the User in the list. The filters and the Filter box narrow a long list. |
| 3 | Click the pencil icon at the right end of their row. The window opens titled Editing followed by their name. |
| 4 | Change what you need. |
| 5 | Click Update. |
Everything about the User is editable here, not only their access:
What you can change |
Notes |
|---|---|
| Authentication Type | Switching between SSO and Skyllful Authentication changes which sign-in fields the window asks for. |
| Email, First Name, Last Name | All required. The User's current email also shows as a read-only line under the window title. |
| Person Number | The User's unique identifier in Skyllful, set when they are added. The field accepts an edit, so the number can be changed, but changing it is not good practice. Other records point at the number rather than at the User's name, so change it only deliberately and only when you know what refers to it. |
| Access | The same Simulator, IQ, and Studio tabs used when the User was added. A green dot marks each tab where access is on. |
Note: Studio permissions appear as a block of removable chips, each with an x, rather than as a dropdown of unselected options. Click an x to take one permission away. Unselect All and Select All sit below the block and act on everything at once.
Note: Deactivate sits at the bottom left of the same window. It is not part of editing, so take care not to reach for it by habit. See Deactivate and Reactivate Users.
How do you edit several Users at once?
Step |
Action |
|---|---|
| 1 | On the User Management screen, narrow the list with the filters or the Filter box until it holds the Users you want. |
| 2 | Click the checkbox in the SELECT column for each User. Pick as many as you need, and Select All takes the whole filtered list. |
| 3 | Click Edit Selected at the bottom right. It stays inactive until at least one User is selected. |
| 4 | The window opens titled Editing, followed by how many Users you picked. Set what they should share. |
| 5 | Click Update. |
Note: Bulk editing overwrites. What you set in the group window replaces whatever those Users had in that field, for every User selected. It does not merge with their existing values and it cannot be undone. Check the selection before you click Update, and narrow the list first so you are only holding the Users you mean to change.
Which fields can you change in bulk?
Not every field is eligible. The group window offers the three access tabs, and anything greyed out cannot be changed for the Users you have selected. On each tab, turning on the access checkbox activates the fields that belong to it.
Tab |
What you can set for the group |
|---|---|
| Simulator | Enable Simulator Access, Manager, Job Role, Region, Market, Warehouse, Location, plus Tags To Add and Tags To Remove. |
| IQ | Enable IQ Access, Manager, and IQ Permissions. |
| Studio | Enable Studio Access and Studio Permissions. |
Personal details stay out of the group window. Name, email, Person Number, and authentication type belong to one User at a time, so change those with the pencil icon on that User's row.
Note: Tags are the exception to the overwrite rule, which is why they get two fields instead of one. Tags To Add attaches a tag to everyone selected and Tags To Remove takes one away, both without disturbing the other tags those Users carry.
Note: Deactivate appears in the group window too, and it acts on everyone selected.
Note: For a large change across many Learners, importing the Excel workbook is often faster and easier to check than working through the group window. The User file is an .xlsx workbook, not a CSV. See Bulk Import and Export Users.
FAQ
Where is the Save button?
There is not one. The button is Update, at the bottom right of both windows. Cancel closes without keeping your changes.
Does bulk editing add to what Users already have, or replace it?
It replaces it. Every eligible field you set is written over the existing value for everyone selected. Tags are the one exception, because Tags To Add and Tags To Remove act on individual tags rather than replacing the whole set.
Why is a field greyed out in the group window?
Because it is not eligible for bulk editing with the Users you have selected. Check that the tab's access checkbox is on, and remember that personal details are never editable for a group.
Can I change a User's Person Number?
Yes, the field accepts an edit on the individual window. It is not good practice, though. The Person Number is that User's unique identifier, and other things point at the number rather than at their name. The User import file is the clearest example: it sets a Learner's manager by Person Number, not by name, so a changed number can break a link that still looks correct on screen. Set the number when you add the User, and change it afterwards only deliberately.
Can I move several Users to a new manager at once?
Yes. Select them, click Edit Selected, open the Simulator or IQ tab, and set Manager. Only Users with Skyllful IQ access appear in the Manager list, and the new manager replaces whoever was there before.
Why is Edit Selected greyed out?
Nothing is selected yet. Click the checkbox in the SELECT column for at least one User, or use Select All.
