Deactivate & Reactivate Users
Administrators can deactivate a user to remove them from a Learning Program, reactivate them later, and manage learning data without losing analytics.
What happens when you deactivate a user?
Deactivating a user removes that person from being active in a Learning Program. It does not delete their learning analytics from the program's data, and it is not permanent. You can restore the user later.
How do you deactivate a user?
| Step | Action |
|---|---|
| 1 | Open the Learning Program, then click Users under Quick Links to open the User Management screen. |
| 2 | Use the search box to find one user, or use filters to select several users. |
| 3 | Click the edit (pencil) icon and select Deactivate. |

Deactivate a user from the edit menu.
How do you reactivate a user?
| Step | Action |
|---|---|
| 1 | On the User Management screen, set the Access Levels filter to Deactivated Users. |
| 2 | Find the user, click the edit (pencil) icon, and select Restore. |
| 3 | The user regains access and resumes their learning path. |

Restore a deactivated user.
How do you delete a user's learning data?
You can permanently delete a user's learning data, but you must do it in the right order. This action cannot be undone.
| If | Then |
|---|---|
| You want to delete a user's learning data | Delete the data first, then deactivate the user. |
| You cannot delete a user's lesson data | Make sure the user is active. You cannot delete data from a deactivated user. Restore the user, delete the data, then deactivate again. |
| A user does not appear when importing from another program | They may already be added and then deactivated. Filter for Deactivated Users; they will not be importable until reactivated. |
FAQ
Does deactivating a user delete their data? No. Deactivating keeps their learning analytics. To remove data, delete it separately while the user is active.
Can I bring a deactivated user back? Yes. Filter for Deactivated Users, then use the edit icon to Restore them.
