Create a JITT Assignment and Set Due Dates

JITT is the Skyllful Assignment type for training that is due at a moment rather than over a window, and Administrators create one by choosing JITT as the Assignment Type, then giving each Learner a due date and time as they are added on the Learners tab.

When is JITT the right Assignment type?

Most training is measured against a window. A Campaign runs from one date to another for everyone, and a New Hire Assignment gives each person the same number of days counted from their own start. JITT, Just-In-Time Training, is for training that is due at a moment, and the moment belongs to the Learner.

Choose it when the deadline is personal rather than shared:

  • A certification expires on a different date for every person holding it.
  • A safety briefing has to be done before someone's shift, site visit, or specific job.
  • A technician is dispatched to equipment they have not worked on before, and the training is due before they arrive.
  • A driving incident is logged, and remediation training is due that week.
  • A role changes, and the training that comes with it is due now rather than at the next scheduled intake.

Where a Campaign asks "is everyone on pace?", a JITT Assignment asks "did each person meet their own deadline?"

How the deadline is set
Suits
Set by an Administrator You choose the date and time as you add each group of Learners. Deadlines you already know: an expiry date, a shift, a scheduled visit.
Raised by an event An automation in Automation Center responds to something that happened in another system and issues the training with its deadline. Deadlines nobody can know in advance: a work order, an incident, a role change.

Both produce the same thing, a Learner with a due date on a JITT Assignment, and both are reported the same way. The difference is only who decided the moment.

 

Note: This is why a JITT Learner holds a series of due dates rather than one. The same person can be given the training again whenever a new deadline arises, and each round keeps its own deadline and its own record of whether they met it.

Note: The Assignment still has its own Availability Start Date and Availability End Date. Those say when the Assignment is open at all. A Learner's due date sits inside that window and is the deadline they are actually measured against.


How do you create a JITT Assignment?

1 On the Learning Program Overview, click the plus (+) icon in the Assignments card.
2 Enter the Assignment Title and add a thumbnail.
3 For Assignment Types, choose JITT.
4 Set the Availability Start Date and Availability End Date. These bound the whole Assignment.
5 On the Lessons tab, add the Lessons and choose the modes they offer.
6 Click Create.
7 Open the Learners tab and add the Learners with their due dates, as below.

How do you give each Learner a due date?

Due dates are set as you add people, not afterwards.

1 On the Learners tab, click the plus (+) icon at the right of the column headings and choose Existing Learning Program Users.
2 In Select Learners to Add to Assignment, choose the people who share this deadline. Select All takes everyone in the list.
3 Check the Start Date at the foot of the window. Skyllful fills in the current date and time; change it if training should begin later.
4 Set the Due Date. Pick the day in the calendar, then the time from the Time column beside it.
5 Click Add Selected.

 

Note: Add Selected stays inactive until a due date is set. Skyllful will not let a Learner into a JITT Assignment without one, which is the product enforcing the thing that makes the type work.

 

Note: A due date carries a time, not just a day, chosen in fifteen minute steps. A briefing due before a shift starts is "8:00 AM on the 14th", not "the 14th".

 

Note: The Learners are added the moment you click Add Selected. The Learners counter moves straight away and there is nothing further to save.

 

Best practice: Add Learners in groups that share a deadline. Everyone selected in one pass gets the same due date, so adding the Tuesday crew and the Thursday crew as two passes is far quicker than correcting dates person by person afterwards.


How do you read the Learners tab?

Each row shows the Learner's START DATE, their LATEST DUE DATE, and their COMPLETED DATE once they finish.

The column says *Latest* because a Learner accumulates due dates. A JITT Assignment is not one deadline per person; it is a running series of them, and the Learners tab shows only the most recent. The full list, and the place to add the next one, is in Skyllful IQ.


Where do you add later due dates and see whether people met them?

In Skyllful IQ, on the Assignment's People tab. Expanding a Learner opens a row for every due date they have been given:

Completed Date and Time When they actually finished. A time later than the deadline is printed in red.
Lessons Assigned and Lessons Completed How much was due that round, and how much of it they did.

Add Due Dates sits at the right of that panel, which is how the next deadline is issued to a Learner who already has one.

The Learner's summary row carries the numbers that matter over time: how many JITTs they have been given, how many they completed, their Compliance percentage, and their average time on a JITT.


What do Learners see?

On a mobile device, a JITT Assignment shows the Learner the time it is due and how long they have left, and marks it as time sensitive so it stands out from training that merely has a window.

 

Note: A Learner who finishes after their deadline still gets credit for completing the Lesson. Skyllful IQ records it as late rather than missed, which is why the completed time shows in red and why Compliance is worth reading alongside completion.

 

Note: The Skyllful Simulator app has to be current for JITT Assignments to appear. A Learner who cannot see one on their phone usually has an app that needs updating.


FAQ

Where is the Just-In-Time Training option?

The radio is labelled JITT, in Assignment Types at the top of the Assignment screen, alongside New Hire, Campaign and Reference.

Can every Learner have a different due date?

Yes. That is the point of the type. Add Learners in batches that share a deadline, and each batch gets its own due date.

Can I set a due date without a time?

The picker asks for both. Choose the day, then the time beside it.

Why can't I click Add Selected?

A due date has not been set. It is required on a JITT Assignment.

Why is the Duration tab greyed out?

Duration belongs to the New Hire type, where every Learner gets the same number of days from their own start. A JITT Assignment works from due dates instead.

How do I see who made their deadline?

In Skyllful IQ. The Assignment's People tab gives each Learner a Compliance percentage, and expanding a Learner shows every due date they were given with the time they actually finished. Anything finished after the deadline is printed in red.

How do I give a Learner their next due date?

In Skyllful IQ, on the Assignment's People tab, expand the Learner and use Add Due Dates. Due dates set in Studio are the ones issued as Learners are added; the ones that follow are issued from IQ.
