Bulk Import and Export Users

Administrators can export Skyllful users to a CSV, edit or add users in the file, and re-import it in Skyllful Studio to update many users at once.

How do you export your current users?

Step Action
1 Open the Learning Program, then click Users under Quick Links to open the User Management screen.
2 Click the overflow menu (three dots) and select Export Users.
3 The CSV file downloads to your computer.

How do you edit or add users in the CSV?

Open the exported file and make your changes. These fields are required for every user:

Required field
Person Number
Personnel Name (Last, First)
Email

Keep these rules in mind:

  • Do not change the header row.
  • To add a user, add a new row and complete all required fields.
  • Enter a Username and Password to set up Skyllful Authentication. Leave them blank to set up Single Sign-On (SSO).
  • Deleting a user's row and re-importing does not remove that user from Skyllful. Deactivate users on the User Management screen instead.

How do you import the updated CSV?

Step Action
1 On the User Management screen, click the overflow menu (three dots) and select Import Users.
2 Choose your updated CSV file.
3 The Import Report downloads automatically.

How do you review the import report?

The Import Report lists any rows that had a problem.

Column What it shows
Record # The row number from your CSV file.
Error Messages A description of the problem with that row.
If Then
A required field is missing (for example, Job Role) Add the missing value in the CSV and re-import.
The data is in the wrong format Correct the format in the CSV and re-import.

What are the best practices for bulk changes?

  • Export the current user list before making bulk changes.
  • Do not change the CSV structure, especially the header row.
  • Keep the User tab as the first sheet.
  • Close the CSV file before you import it.

FAQ

Will deleting a row in the CSV remove the user? No. To remove a user, deactivate them on the User Management screen.

How do I set up SSO users in the file? Leave the Username and Password blank. Skyllful sets those users up for SSO.
