Auto-Enrollment: Full Guide

This guide walks administrators through setting up Skyllful Auto-Enrollment end to end, including enrollment parameters, learner profile data, assignments, activation, and tracking who enrolls.

What is Auto-Enrollment and what are its limits?

Auto-Enrollment simplifies and expedites the process of assigning one or more assignments to learners. Instead of importing learners into each assignment by hand, you create a shareable URL and QR code that lets learners self-enroll. A single link or code can reach unlimited learners and stays active indefinitely until you disable it.

Auto-Enrollment does not automate importing users into Skyllful. Learners must already exist in the platform before they can self-enroll, unless your organization uses Auto-Provisioning for SSO authentication. How do you open the Auto-Enrollment screen?

Step Action
1 Open the Learning Program, then click Users under Quick Links.
2 Select the Auto-Enrollment Links tab.
3 Click the plus (+) icon to create a new enrollment.

How do you set up an Auto-Enrollment?

An Auto-Enrollment is built from three parts: enrollment parameters, learner profile data, and assignments.

Enrollment parameters

Field What it does
Name Identifies the enrollment and its intended learners. Make it descriptive for both administrators and learners.
Start date The go-live date when the link or QR code becomes active.
End date (optional) The date the link stops working. Leave it blank and the enrollment works indefinitely, or until you make a change.

Learner profile data

This is the profile information applied to learners as they enroll.

Item What it does
Tags Optional labels applied to enrollees. Add as many as you need. Changes are not retroactive; they apply to learners who enroll after the change.
Fallbacks Required. A default Manager and Job Role applied to enrollees who do not already have them.
Overrides (optional) Lets you change the manager or role for users who already exist in the program.

Assignments

Attach one or more assignments to the enrollment. Each assignment is made up of:

Component What it defines
Curriculum Set The organized set of lessons the learner receives.
Learner Group Who the assignment targets, categorized by tags or roles.
Learning Data Settings How progress is monitored.
Completion Timeline The expected duration for completing the assignment.

How do you activate and share the enrollment?

Step Action
1 Click Update to save the enrollment.
2 Turn on the Enabled toggle to activate it.
3 A customizable code appears as the URL identifier. Share the link with web and app users, or download the QR code.

How do you track who enrolls?

The Enrollees interface shows the learners who have self-enrolled through the link or QR code, so you can confirm that enrollment is working and see who has joined.

FAQ

Does Auto-Enrollment add new users to Skyllful? No. Learners must already exist in the platform, unless your organization uses Auto-Provisioning with SSO.

Can one enrollment include more than one assignment? Yes. You can attach one assignment or several to a single enrollment.

What happens if I do not set an end date? The enrollment stays active indefinitely, until you disable it or make a change.

Are tag changes retroactive? No. Tag changes apply to learners who enroll after the change, not to those already enrolled.
